Position Information:

The Patient Services Coordinator/Scheduler position serves as the first point of contact for Northwestern Health Clinics and leads by example the mission of NWHSU and mission and guiding principles of operation of the Northwestern Health Clinics. The Patient Services Coordinator position ensures the patient's expectations are exceeded through exemplary performance of the essential job functions outlined in this job posting.

This is a part-time, non-benefits eligible position working up to 19 hours per week.

Hours needed: Monday, Tuesday and Thursday 10-2pm (with the opportunity to work remote after completion of a 3-4 month training period) and 1-2 Saturdays/month (onsite) 8:00-3:00pm

Duties include, but are not limited to:

  • Patient registration and scheduling for 3 NWHSU clinics (remote and on-site)
  • Preparing new patient health record with appropriate forms
  • Collection of fees
  • Insurance Verification
  • Follow HIPAA privacy rules and complete annual HIPAA training
  • Opening/closing of the Northwestern Health Clinic
  • Supporting clinicians and interns
  • Schedule patients for outside procedures (lab/x-ray)
  • Assist patients with scheduling appointment when referred outside the NW Health Clinic
  • Assist customers with purchases when necessary
  • Promote clinical services, retail services and educational opportunities within the clinic


  • High School Diploma or General Equivalency Diploma (GED) (Required)
  • Bachelor's degree (Preferred)
  • 1-3 years' experience
  • CPR Certification (required to be obtained within 120 days of hire date, course offered through NWHSU or can be done independently)
  • Strong customer service and communication skills
  • Positive and flexible attitude, a team player and ability to multi-task
  • Ability to work remotely and on-site if/when needed

Additional Knowledge/Skills:

  • Working knowledge of EHR (GE Centricity/Athena and Chirotouch a plus)
  • Working experience with retail Point of Sale system preferred
