Position information: 

The Clinical Assistant reports to the Clinical Lead within the Sweere Clinic.  This position abides by the mission of Northwestern Health Sciences University (NWHSU) and the mission and guiding principles of operation of the Northwestern Health Clinics. The primary goal of the Clinical Assistant is to increase the efficiency and the productivity of the provider that they are working with in the treatment room. The Clinical Assistant allows the provider to focus on what is most important, the patient.

This position will start as a part-time, non-benefits eligible position, working the required hours of Tuesdays from 2:00 pm - 6:00 pm and Thursdays from 8:00 am - 12:00 pm (8 hours per week). This position will transition to a full-time, benefit eligible schedule, working up to 30 hours per week as the clinic expands. 

Duties include, but are not limited to:

Scribe Duties

Accurately and thoroughly document medical visits and procedures as they are being performed by the treating provide.  Including but not limited to:

  • Patient medical history and physical exam,
  • Procedures and treatments performed by healthcare professionals, including all providers disciplines; i.e. chiropractor, physical therapist, rolfer, acupuncturist, etc.
  • Patient education and explanations of risks and benefits
  • Document diagnoses, prescriptions and instructions for patient or family members for self-care and follow-up
  • Prepare referral letters as directed by the treating provider
  • Proofread and edit all the provider's medical documents for accuracy, spelling, punctuation and grammar
  • Ensure that all addenda is signed off by the provider
  • Ensure that all clinical data, lab or other test results, the interpretation of the results by the provider are recorded accurately in the medical record  
  • Alert provider when chart is incomplete
  • Comply with specific standards that apply to the style of medical records and to the legal and ethical requirements for preparing medical documents and for keeping patient information confidential.
  • Organize and catalog data for provider quality reporting system and other quality improvement efforts and format for submission.
  • Assist in developing and maintaining systems to track patient follow up and compliance.

Clinical Assistant Duties

  • Obtaining and documenting critical patient measurements, including but not limited to:
    • patient leg length
    • patient balance measurements based on weight distribution
    • Perform patient set-up duties in preparation for the provider to take x-ray or CT images.

Support Patient Experience

Create smooth patient workflow and a comfortable environment for the patient. This includes but is not limited to:

  • rooming the patient
  • maintaining OSHA cleaning standards
  • assist and educate patients on recommended nutritional or supportive products per provider direction
  • Assist and educate the patient in any home care instructions per providers instructions.


  • High school diploma plus some specialized training of less than two years (Required)
  • Associate degree of two-year program (Preferred)
  • 1-2 years related experience in a chiropractic or medical office (Preferred)
  • CPR Certification (Required)

Other specialized knowledge/skills:

  • Good understanding of compliance requirements related to HIPAA (Health Insurance Portability and Accountability Act) and practice confidentiality when accessing and/or communicating patient information.
  • Proficient typing skills
  • Proficient punctuation, grammar, and communication skills
  • Must be able to listen to complex medical information and summarize it in a clear, complete, and concise fashion.
  • Handwriting must be clear and legible.
  • Good understanding of medical terminology, anatomy and physiology, diagnostic procedures, pharmacology, and treatment assessments to the extent required to understand and accurately transcribe dictated reports.
  • The ability to translate medical abbreviations into their expanded forms.
  • Electronic medical record (EMR) software experience preferred.
  • Data entry skills, and ability to use Microsoft Office products, specifically Word and Excel.
